CallEma is an AI telephone receptionist for US-based small businesses. This policy explains what information we collect, why we collect it, and how we use it. For questions, email privacy@callema.com or use our contact page.

Who this covers

We serve business account holders (owners and staff who sign in to the dashboard). When someone calls your CallEma number, we process that caller's information on your behalf so Ema can book, take a message, or answer questions.

The service is currently offered to US businesses only. Healthcare and other HIPAA-covered uses are not supported.

Information we collect

  • Account information: name, email, password (hashed), phone, optional company name, and session details such as IP address.
  • Business configuration: business name, hours, services, greetings, and related settings you enter so Ema can represent your business.
  • Caller information: phone number, name if provided, appointment details, and message content. We do not record call audio. When you enable transcription in Call Handling, we store a text turn log of the conversation for your Call History dashboard.
  • Payments: Stripe processes cards. We store Stripe customer and subscription identifiers, not card numbers.
  • Calendar connections: if you connect Google Calendar or Calendly, we store encrypted tokens so Ema can create or cancel events.

How we use it

We use this information to run the receptionist, show you messages, appointments, and usage in the dashboard, bill your subscription or credits, send transactional email (when email delivery is enabled), and keep the service secure.

We do not sell personal information. We do not use caller conversations to train public AI models.

Service providers

We share information with vendors only as needed to operate CallEma, including Twilio (phone calls), Neon (database), Stripe (payments), OpenAI and OpenRouter (AI responses), and Google or Calendly if you connect a calendar.

CallEma's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Cookies

We use essential authentication cookies so you stay signed in. We do not use third-party advertising or tracking cookies.

Retention and your choices

We keep account and business data while your account is active. Account deletion deactivates the account. You can request access or deletion by contacting us at the email above.

Changes

We may update this policy as the product changes. The date at the top is the latest revision. Continued use after an update means you accept the revised policy.
